How it works
Order Defence needs to see your refund notices, and nothing else. There are two ways to arrange that, and neither involves a platform login. Whichever you choose, you always click submit: the appeal is prepared for your team to send from your own account.
Option one: connect Gmail, read only
The quickest route. In Settings, choose Connect Gmail and approve the read-only permission Google shows you. We can then read messages, and nothing else: we cannot send mail, delete anything or change your mailbox. We only look at messages from the three platforms that mention a refund or an adjustment, and you can disconnect in one click at any time.
Option two: forward the notices
If you would rather connect nothing at all, keep your own mailbox and send copies. Settings gives you a private forwarding address. Add a rule so refund notices go to it automatically, or forward them by hand.

Matching the domain catches every address a platform sends from, including new ones. If something stops arriving, forward one notice by hand and email support@orderdefence.com so we can look at it.
In Gmail
- 1In Gmail, open Settings, then See all settings, then Filters and Blocked Addresses.
- 2Choose Create a new filter.
- 3In the From box, put the domains for the platforms you use, separated by OR: deliveroo.co.uk OR uber.com OR just-eat.co.uk.
- 4Choose Create filter, then tick Forward it to, and pick your Order Defence address. Gmail will ask you to add and verify that address once, under Forwarding and POP/IMAP.
- 5Tick Also apply filter to matching conversations if you want the last few weeks brought in too.
In Outlook
- 1In Outlook on the web, open Settings, then Mail, then Rules.
- 2Choose Add new rule and give it a name, such as Refund notices.
- 3Set the condition to Sender address includes, and add the domains for the platforms you use: deliveroo.co.uk, uber.com, just-eat.co.uk.
- 4Set the action to Forward to, and enter your Order Defence address.
- 5Save. Outlook applies the rule to new mail; forward older notices by hand if you want them included.
Then what happens
- Each notice becomes a claim, with the platform’s own deadline on it.
- The ones worth contesting are flagged, and an appeal is drafted from your order record and the packing process you have confirmed.
- You read the draft, change anything you like, and submit it in your platform portal yourself.
- When the platform replies, you record the outcome in a tap, which is what teaches the rules what works.
We never ask for a platform password, never log in to your accounts, and never submit anything to a platform.
